    Role / Responsibilities

    This position requires strong experience in executive support, polished communication skills, exceptional attention to detail, good judgment, business savvy and the ability to manage within a very dynamic, fast-paced environment, with constantly evolving priorities. Qualified candidates must be able to provide a high level of day-to-day support and be willing to do what it takes to get the job done. We are looking for a team player who is energetic, proactive and hardworking. The ideal candidate will be experienced in handling a wide range of administrative and executive support related tasks and will be able to anticipate the needs of their groups and work independently with little supervision. Most importantly, the candidate must be the kind of optimistic and solutions-oriented team-player that stakeholders value working with.



    • Provide support to the Chief Business Officer and Business Development function, Legal Department, and IT and Informatics organization,
    • Heavy calendar management: set appointments, prioritize & juggle appointments in the moment. Must be able to independently identify and resolve issues with calendar and schedule. Able to proactively anticipate sequencing of meetings.
    • Exercise sound judgment and discretion in handling confidential and sensitive information
    • Meeting/event preparation, set-up and follow-up, including presentation proofing and edits
    • Perform general administrative functions (answering phone calls, ordering lunch, coordinating vendors, printing, mailing, faxing, scanning and binding, etc.)
    • Collaborate with internal and external contacts and handle sensitive and confidential information.
    • This role is responsible for high quality interactions and clear and consistent communications.
    • Prepare expense reports, and reconcile company credit cards
    • Organize complex domestic and international travel


    • Minimum 2-4 years of administrative support, specifically in a fast-paced environment.
    • Excellent technical skills with a flair for using latest technology and a passion to learn new efficient ways of getting things done
    • Flexible and highly organized with a proven ability to juggle multiple competing tasks and demands. This requires collaborating with team members and working independently.
    • Able to handle sensitive business communications, data and other information with professionalism, confidentiality and discretion, both internally with employees and externally
    • Outstanding verbal, written and interpersonal communication skills
    • Must possess a sense of humor
    • Maturity, solid judgment and the ability to interact with confidence with executive management
    • Advanced proficiency in MS Office Suite: Word, Excel, PowerPoint and Outlook
    • Excellent interpersonal and verbal communication skills and ability to effectively deal with various personnel inside and outside the company.
    • Must be a self-starter with a positive and flexible attitude.
    • Ability to remain calm under pressure and handle a variety of situations with peers and leaders in a professional manner
    • Experience working on a team of administrative assistants
    • Experience in a biotech or pharmaceutical company a plus
